This privacy and cookie statement applies to most services provided by The Hague Institute for Innovation of Law (“HiiL”) such as our corporate website and the HiiL Justice Dashboard and applies to our website visitors and any other data subjects. As part of the services we offer, we process personal data. This privacy and cookie statement tells you what personal data we process and what we do with it.

1. General

HiiL takes the safeguarding of your personal information seriously. We do not require you to provide any personal information to access and browse our website except as stated in this privacy and cookie statement or to use most of our online services.

Submitting information is strictly voluntary. By doing so, you are giving HiiL your permission to use the information for the intended purpose (e.g. Monthly Newsletter). If you do not want to give HiiL permission to use your information, then simply do not provide it. We never collect information for commercial marketing purposes.

HiiL observes the utmost care in compiling and maintaining information you voluntarily provide on the website. However, HiiL cannot guarantee that this information is always completely accurate, comprehensive and current. Adopted documents of the association, such as an annual report and the code of conduct, are legally valid. Other information provided on or via our website is therefore exclusively intended as general information and no further rights can be derived therefrom. In any case you have the right to access or rectify your data. At the bottom of this statement, you can find how to exercise your privacy rights.

2. Links to other websites

HiiL links to many websites created and maintained by other public and/or private organisations or individuals, including links on social media websites. We provide links to these sites as a service to our users. The presence of a link is not an endorsement of the site or its contents by HiiL. These links are provided purely for reference purposes.

When users follow a link to an outside website, they are leaving HiiL and are subject to the privacy and security policies of the owners/sponsors of the outside website(s). HiiL is not responsible for the information collection practices of non-HiiL sites.

3. Copyright and intellectual property rights

The copyright of this website and all information thereon is vested in HiiL or in third parties, who have made these (visual) materials available to HiiL with their consent. Copying or disclosing visual materials derived from the website (and its components) electronically or otherwise without the prior authorisation of HiiL, is not permitted. 4. Privacy statement

HiiL attaches great value to the protection of your personal data. In this privacy statement, we provide information about how we handle personal data. We do the utmost to safeguard your privacy and therefore handle personal data with due care. HiiL conforms to the applicable laws and regulations, including the General Data Protection Regulation (Algemene verordening gegevensbescherming, AVG), in all cases. This means that:

  • Your personal data are processed in accordance with the purpose for which they have been provided. These purposes and the type of personal data are incorporated in this privacy statement.
  • The use and/or processing of your personal data remains restricted exclusively to those data that are minimally required for the purpose for which they are provided and/or processed.
  • Suitable technical and/or organisational measures have been taken to guarantee the security of your personal data.
  • Personal data will not be passed on to other parties unless this is required to achieve the purpose for which they have been provided.

We are aware of your rights concerning your personal data, and it is our intention to inform you of these and to respect them.

For what purposes do we use your personal data?

We obtain various personal data from you. We specify for each purpose what data we obtain from you and for what purpose we process these data. If you have any questions or would like to know exactly what information we store about you, please contact us. Our contact details are mentioned at the bottom of this privacy and cookie statement.

Contact and complaint handling

When you send us an email, contact us by telephone, or contact us in any other way, you instruct HiiL to potentially process personal data as necessary to fulfill those requests (performance of the contract).

For this purpose, we process the following personal data:

  • Name
  • Business information (if you contact us from a business perspective)
  • Contact details (email address and telephone number)
  • Any information you provide as part of the content of a message

We store these contact moments including any possible personal data you provide for the purpose of contacting you and handling your complaint, if necessary.

Partner network

With our network of partners, we make user-friendly justice possible. In order to become a partner, we do need some personal data. We process these based on the legitimate interest we have, namely the interest to eventually perform the contract with the company to become a partner. 

For this purpose, we process the following personal data:

  • Contact name
  • Company name
  • Business contact details (email address and phone number)
  • Any information you provide as part of the content of a message

Events and articles

Together with information on our events and the content of an article, visuals and information on speakers or writers are displayed on our website. This visual material may be produced by us or by our various partners. We process these data based on your consent that you have given to us.

For this purpose, we process the following personal data:

  • Name of the speaker or writer
  • Visual material/images
  • Any information being disclosed of you (with regard to the event).

HiiL is not responsible for information copied by others from our website.

Newsletter

On our website you can subscribe to our monthly digital newsletter. We only send out the newsletter with your consent. The newsletter contains information on the latest news and project works from HiiL. Furthermore, we can send personalised newsletters based on the information you provide.

For this purpose, we process the following personal data:

  • Possibly name
  • Email address
  • Possibly job title
  • Possibly organization you work for

Your personal data is stored until you unsubscribe from our newsletter. If you no longer wish to receive the newsletter, you can unsubscribe at any time. There is an unsubscribe link in every newsletter.

Working at HiiL

If you apply for one of our job openings or submit an open application, we process your personal data for the purpose of handling your application and in preparation for a possible employment contract.

For this purpose, we process the following personal data:

  • Name
  • Gender
  • Date of birth
  • Address details
  • Contact details (email address and telephone number)
  • Curriculum Vitae
  • Motivation letter
  • Salary requirements, if any
  • References, if any

Any other information you provide with your application

A social media and internet screening can be part of the application procedure. This is necessary for us to preserve our image when hiring new staff; we do this on a legitimate interest basis. We will do a search of your name on Google and any profile you may have on various social media. This applies, of course, insofar as these profiles are public. We will not ask you to grant us access to a private social media page or to accept a request from us. The results of the screening will be discussed with you. Should you have any objections to this, you can inform us by email at the time of your application.

For how long do we retain your data?

HiiL will only retain your data for as long as it is necessary to achieve the purposes as laid out in the paragraphs above, or for as long as HiiL is legally allowed to retain the personal data.

When can we share your personal data with third parties?

HiiL will only share your data with third parties to the extent permitted by current legislation. We may provide your personal data to third parties when:

  • We have engaged them to process certain data;
  • We have a legal basis to do so;
  • We are legally obligated to do so (e.g., if the police demand this in case of a suspicion of a crime).

HiiL may provide your personal data to parties located outside the European Economic Area (EEA) to provide those services. HiiL will only do so if there is an appropriate level of protection for the processing of personal data.

We use social media buttons on our website that redirect you to the relevant social media platforms. This gives you the option to follow us and share content. You will also see advertisements on your social media page. The buttons operate through bits of code provided by the social media networks. Security

We have taken suitable technical and organisational measures to safeguard your personal data from wrongful processing. This includes HiiL having taken the following measures:

  • All persons who can take cognizance of your data on behalf of HiiL are obliged to keep these confidential.
  • A username and password policy are in effect on all our systems.
  • Backups are made of the personal data so as to restore them in the event of physical or technical incidents.
  • Our employees have been informed about the importance of personal data protection.

As HiiL, we are responsible for processing your personal data. If you wish to submit any questions you have as a result of reviewing our privacy statement or more general questions or wish to contact us, you can do so via privacy@hiil.org.

What are your privacy rights?

You can always contact us if you have any questions regarding our privacy and cookie statement. Besides that, you have the following rights regarding your personal data:

  • Right of access: you have the right to access the personal data we process about you.
  • Right to rectification: you have the right to correct or supplement the personal data we process about you, e.g., if they are incorrect or incomplete.
  • Right to object: you have the right to object to the processing of your personal data.
  • Right to erasure: you may request us to erase your personal data.
  • Right to withdraw your consent: if you have consented to us processing personal data, you can withdraw your consent at any time.
  • Right to data portability: if it is technologically possible, you have the right to have the personal data we process about you transferred to a third party.
  • Right to restrict processing: in some cases, you can request that we restrict the processing of your personal data (temporarily or otherwise).

We may ask you for identification to fulfil your request. We require this information to ensure that the requested personal data belongs to the right person.

We will generally comply with your request within one month. However, this period may be extended by two months depending on the specific privacy rights or the complexity of the request. If we extend this period, we will inform you in good time.

When there is a change in our services, we will also need to change our privacy and cookie statement. Please consult this privacy and cookie statement regularly for the most up-to-date information.

Please contact us if you have a complaint about the processing of your personal data. You always retain the right to submit a complaint to the Dutch Data Protection Authority (DPA); the supervisory authority for privacy.
